Privacy notice
This notice explains what personal information Navarchiva collects, why, how it is handled and what choices you have. It is written with the Australian Privacy Principles in mind.
Who is responsible
Navarchiva is responsible for the personal information described in this notice, and the place to raise any question about it is hello@navarchiva.online. We do not publish a postal address.
The short version
- The planning tools run in your browser. What you type into them is never sent to us.
- Personal information reaches us only when you choose to write, either through the contact form or by email.
- It is used to answer you and, if you hire us, to carry out and invoice the work.
- We do not sell it or share it for anyone else's marketing.
- The site uses no analytics trackers and no advertising cookies.
What we collect
When you use the contact form: your name, email address, organisation (if you give it), the topic you choose and your message. The form also records a one-way hash of your internet address, made with a secret key, and the time of each successful send. We use those records only to limit how many messages one connection can send in a day, which protects the form from abuse. They are deleted after 24 hours, the next time anyone visits the contact page.
When you email us: your email address, name and anything you include in the message or attachments.
When you visit the site: our web host's servers keep standard access logs, which can include your internet address, the page requested, the time and your browser type. These logs are kept by the host for security and troubleshooting. We do not use them to build profiles of visitors.
How we use it
- To read and reply to your message. If you ask about having a website structure planned or reorganised, the reply may describe our services and the related interest set out in the site footer. We do not add you to a mailing list.
- To prepare a quote and, if you engage us, to deliver and invoice the work.
- To keep the contact form working and protected from misuse.
- To meet any legal obligations, such as keeping business records.
Disclosure and overseas processing
We do not sell personal information, and we do not pass it to anyone for their own marketing.
The website is hosted by a commercial web host, and email is handled by a commercial email provider. They store and process data on our behalf. Their servers may be located outside Australia, so your message and the related records may be stored or processed overseas. We choose providers that state they protect the data they hold.
We may disclose personal information if the law requires it.
Cookies
The site sets no cookies unless the contact form is active. When it is, the contact page sets one session cookie, limited to that page, to protect the form against forged submissions. The cookie notice has the details.
How long we keep it
- Contact form rate-limit records: up to 24 hours, removed the next time the contact page is visited after that.
- Contact form session data: the form token expires after two hours, and expired session files are deleted the next time the contact page is visited.
- Enquiries that do not lead to work: kept for up to 12 months, then deleted.
- Project correspondence and invoices: retained for the period that tax and business record rules set.
Security
The contact form sends messages over an encrypted connection to our mailbox. Settings and stored records sit outside the public part of the web server. No system is perfectly secure, so please do not send sensitive personal information, such as health or financial details, through the form.
Access and correction
You can ask to see, correct or delete it by emailing hello@navarchiva.online. If there is a lawful reason we cannot do what you ask, the reply explains it.
The Australian Privacy Principles
The Privacy Act 1988 and its thirteen Australian Privacy Principles set rules for organisations the Act covers. According to the Office of the Australian Information Commissioner, the Act covers some small businesses (those with annual turnover of $3 million or less) but not most of them, and a small business may choose to opt in. Whether or not the Act applies to us in a given case, we handle personal information in line with the principles, including APP 5 on telling you about collection and APP 8 on disclosure overseas.
Complaints
If you are unhappy with how we have handled your information, email us first and we will try to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner, which handles privacy complaints about organisations covered by the Privacy Act.
Changes to this notice
We will update this notice if our practices change. The date at the top shows the last revision.
